Description:

The Student Billing Specialist (SBS) is the initial point-of-contact for all Tuition Billing and Payment inquiries from families and students. SBS updates and administers student and family accounts, ensuring all information is accurate and up-to-date. SBS collects payments and notifies families if payments are overdue.

Key Responsibilities:

  • Review school enrollment agreements for completeness

  • Setup new students and families in Blackbaud Tuition Management system

  • Prepare and mail statements when requested

  • Set up Tuition Management accounts and post payments as received

  • Set up special billing and payroll deductions for Faculty/Staff

  • Coordinate with outside agencies offering financial scholarships/support for our students

  • Run monthly reports and assist Controller with balancing to general ledger and month-end close

  • Record charges and credits for services to student accounts in accordance with signed contracts and billing sheets

  • Maintain supporting documentation for all charges and credits

  • Prepare A/R aging reports at month-end for review with Controller/DFO

  • Review and prepare student accounts for write off/collections

  • Follow up with telephone calls to families who are >30 days late with payments

  • Maintain enrollment spreadsheet for new & returning students

  • Maintain prorated cost for tuition and supervision

  • Process accounts for write off and collection

  • Maintain account status with all collection accounts via Lawyer and attend court hearings

  • Produce employee tuition contracts, payroll deduction and maintain tuition remission eligibility

  • Process financial documents for parents to report students attending Barrie and flex spending

  • Order supplies and set up and promote Tuition Refund Plan with Dewar/Parents

Other Duties

  • Assist Controller with tuition reconciliation and month-end close

  • Assist in preparation for annual and year-end audits

  • Business Office Liaison with the Admissions Department

  • Member of the Financial Aid Committee

  • Other duties as assigned


Skills:

Qualifications:

  • Bachelor’s degree in accounting, Finance, Business Administration, or a related field.

  • Minimum of 3-5 years of experience in billing, accounts receivable, or a related financial role, preferably in an educational setting.

  • Strong understanding of student information systems, billing software, and financial regulations.

  • Excellent communication and interpersonal skills, with a customer service orientation.

  • Ability to analyze financial data, generate reports, and provide recommendations.

  • High level of accuracy, attention to detail, and problem-solving skills.

  • Familiarity with US Generally Accepted Accounting Principles (US GAAP)

  • Proficiency in Microsoft Office Suite, particularly Excel.

  • Experience with financial aid processes, student account management, or Blackbaud Tuition Management is a plus.

Work Environment:

  • Office-based role with occasional interaction with students, parents, and staff.

  • A fast-paced environment requiring multitasking and attention to detail.

  • Some evenings or weekends may be required during peak billing periods.


Compensation and benefits are competitive, with an anticipated annual salary range of $55,000 to $ 65,000
