Job Title:                  WCTA Sales Administrator

Reports To:              Vice President WCTA        


Summary of the Position

 

Employee will coordinate store visits and provide the sales, service and marketing teams with support material and data.  Employee will perform as a liaison between retail stores, field service representatives, all departments, and across all sales organizations for WCTA.  Employee is also responsible for documenting any changes at the store level. Employee will maintain files and perform a wide range of administrative functions.

  • Accurate data entry for online accounts
  • Files maintained accurately and timely
  • Timely shipping of products, documents and materials
  • Distributor Co-op programs processed accurately
  • Presentation booklets printed and bound timely
  • Collection and submission of all documentation to reconcile disputes

 

Key Accountability Metrics

  

  • Effective communication with all departments and across all sales organizations
  • Assisting in product research and development, product set up and all aspects of adding new products and part numbers to WCTA
  • Monthly reports provided to the outside sales representatives of POS sales results as needed
  • Weekly tracking and recording of store call logs and travel schedules for the outside sales representatives

 

Key Responsibilities/Essential Functions

 

  • Performs Accurate Data Entry                                                   35%

 

Prepares Excel spreadsheets, performs SAP entries, and updates programs regarding product data.  Enters data to upload web content

 

Compiles, sorts, and verifies the accuracy of data prior to processing and entering the data.  Ensures that all data is current on various sites, performing updates as necessary when products or attributes change

 

  • Performs Program Product Maintenance                               15%

 

Provides maintenance of products in distributor based programs (i.e.) Commerce Hub, Home Depot Link, Northern Tool, Grainger, etc.  Responsible for adding new products and product lines to online sources

 

  • Maintains Files                                                                                   5%

 

Maintains all distributor files, product data files, customer files, and internal personnel files all while adhering to strict confidentiality protocol which applies to any internal or external information, products, or personnel

 

  •  Maintains Agreements and Processes Documents              10%

 

Guardian of customer contracts, assessments, FCPA Requirements, buying agreements, Co-op programs, quotes, orders and Special Price Requests

 

Communicates with various departments, including customer service, marketing, accounting, and distributors, in processing documents to ensure requests are implemented in a timely fashion.

 

  • Participates in Training                                                                5%

 

Increases knowledge of customer/distributor programs by participating in training sessions, on-line webinars and vendor conferences

 

  • Assists with Promotions                                                             5%

 

Assists in writing promotional literature and catalogs used to promote the company, products and services Responsible for coordinating and processing all direct mail campaigns.  Documents leads and responds timely to customer requests generated from direct mail campaign   Works with outside vendors when necessary to complete required tasks 

 

  • Assists with Distributor Events                                                 10%

 

Assists with various duties required for Trade Shows, Presentations, Line Reviews, Catalog Revisions, Price Shops, New SKU setups, Product Notices, Distributor Notices, Company Functions and other events within the organization

 

  •  Performs Administrative Functions                                        15%

 

Organizes meetings and conference calls, and stages products for shows and events, coordinating with outside vendors

 

Creates shipping authorizations to ensure on-time arrival of products, literature, training materials, presentations and trade show materials

 

Gathers information for monthly Executive Summary, monthly POS sales, customer reporting, bank reconciliation charges and as needed with other various projects and reports. 

 

Maintains records of active and completed projects and reports project statuses.

 

Education and/or Experience     

 

Required –   Associates degree or related Technical degree with previous sales or customer service support. 

 

Preferred – Bachelor’s degree in Marketing or Business.

Other Qualities - Must have a calm demeanor when interacting with customers. Must be capable of communicating technical issues in writing as well as orally.
