Description:
The Administrative Assistant is responsible for the program’s administrative activities, particularly those associated with documentation of the program’s application and enrollment process, applicant/participant tracking and reporting, and routine administrative activities.  The Administrative Assistant is also responsible for maintaining the database files for applicants and participants and generating and distributing status information to participants, their victims and/or criminal justice professionals

High school diploma or GED.  Computer literate (MS Word, internet, e-mail).  Ability to multi-task.  Experience in data base programs and maintaining data information systems preferred. Ability to understand domestic violence and how it affects the client population. Ability to work with people from diverse backgrounds.

Must be violence free in own life with no charges of violence within a minimum of three years.  If applicant has ever been identified as a perpetrator of domestic violence the applicant must have successfully completed a certified abuse intervention program.


Skills:

Essential Duties:

  • Answer in-coming calls, screen callers, and direct calls as appropriate.

  • Maintain and track applicant/participant case information in database and hard files.

  • Complete and enter call reports, and schedule intake appointments.

  • Enter information into database; ensure participant electronic documentation meets program standards. 

  • Generate status letters to participants, victims and criminal justice professionals.

     

    Non-Essential Duties

  • Assist, on as needed basis, with group sign-in, generating and posting attendance records, collecting fees and issuing receipts.

  • Assist with special projects.
