Our Training Institute is in high demand and is consistently running multiple projects at once. This position’s work schedule is a standard 9am to 5pm day, Monday through Friday.

 

The Program Assistant is the first contact the public has with the House of Ruth Maryland’s Training Institute and is responsible for setting a helpful, welcoming, and informed tone for each individual’s experience with us. The Program Assistant is responsible for providing administrative assistance and support to the day-to-day office operations of the Training Institute, including training registrations, presentation tracking & reporting, and routine administrative activities. The Program Assistant also assists with administrative activities and special projects that enable the Director of Training & Education to work effectively.

Primary Responsibilities: 

 

  • Take initiative and create systems that improve efficiency and effectiveness of administrative functioning of program.
  • Provide a wide range of administrative functions including answering and routing phone calls, photocopying, filing, scanning, maintaining program records and administrative files, maintaining inventories and ordering office supplies/ building commodities, ensuring adequate supply of program forms, and running program related errands.  
  • Provide administrative and scheduling support and complete special projects for the Director of Training & Education.  Assist other lead staff as appropriate within the program.
  • Manage the Training Institute schedule of events, staff contact lists, and staff availability. 
  • Maintain an efficient, professional, and pleasant environment, troubleshoot office equipment problems, and arranging for and coordinating office equipment repair.
  • Handle creation and tracking of continuing education units for the department, as well as, invoice tracking of program fees.
  • Update and maintain office operations manual.
  • Complete routine data entry tasks efficiently and accurately.  Produce reports as required.
  • Identify opportunities to utilize trainees and volunteers to enhance operations.
  • Maintain strict confidentiality with respect to sensitive documents and Director level projects and communications.
  • Other duties as assigned.
